A resignation letter needs four things: a clear statement that you are leaving, your last working day, a thank you, and an offer to help hand over your work. Keep it short and gracious, and you do not need to explain your reasons.
You can put one together in a minute or two with the resignation letter generator, free and in your browser with no sign-up.
What the letter must include
A resignation letter is a short formal record, not an essay. Cover four points and stop:
- The statement. Say plainly that you are resigning from your role. One sentence does it.
- Your last day. Give the exact date, based on your notice period. This is the detail HR and your manager need most.
- A thank you. A line of genuine thanks for the opportunity or what you learned. It costs nothing and it matters.
- A handover offer. Say you will help wrap up your work or train a replacement during your notice. It signals you are leaving on good terms.
That is the whole letter. Two short paragraphs on one page.
How much notice to give
Two weeks is the common standard, but your contract is the real answer. Some roles, especially senior or specialized ones, require a month or more, so read your agreement before you set a date. Give at least the notice your contract asks for, and more if your situation allows, so the handover is calm rather than rushed.
Once you settle the date, put it in writing in the letter and stick to it. A clear, honored notice period is one of the things a future reference remembers.
Keep it gracious and brief
Resist the urge to explain why you are leaving or to settle scores. The letter outlives the moment, and a bitter note can cost you a reference later. Even if the job was hard, a neutral and warm tone protects the relationship and your reputation.
If you have real feedback, an exit conversation is the place for it, not the letter. The written record should be calm, professional, and forgettable in the best way. Address it to your manager by name, and let it confirm a conversation you have already had rather than break the news for the first time.
How to generate and download it
Open the resignation letter generator and enter your name, your role, your manager’s name, and your last working day. The letter is laid out around those details, with the four parts in order, so you can adjust the wording and keep the structure.
When it reads the way you want, download a clean PDF or copy the text straight into an email. Nothing is uploaded, so what you type stays on your device. If your next step is the job hunt, build a fresh resume in the resume builder so it is ready before your notice runs out.
